ADMINISTRATION ASSISTANT

JOB PURPOSE SUMMARY:

To provide a professional and friendly reception service for Avanti Conveyors. To perform various administration tasks in a competent and timely manner and to be flexible to deal with ad hoc requests.

KEY RESPONSIBILITIES & ACCOUNTABILITIES:

  • To be the main point of contact for telephone calls and visitors to Avanti Conveyors, including maintaining the visitor diary, sign in details and any catering requirements for meetings and visitors.
  • To be the point of contact for the Managing Director to co-ordinate equipment, travel information, other ad-hoc items required for his schedule.
  • To collate employee timesheets on a weekly basis and to a weekly deadline, input to a central record comparing to clocking in information to ensure accuracy for payroll processing.
  • To maintain the workwear and personal equipment records for all employees, liaise with suppliers for the most appropriate workwear and equipment, ensure that all employees are correctly kitted out.
  • To co-ordinate Avanti Conveyors’ travel requirements, working with our travel consultants so that a central record of travel is held at Avanti.
  • To be the central point of contact for any IT related issues, and co-ordinate the response to these queries through maintaining a log and help desk responses.
  • Other Admin tasks as defined by the business needs.

PERSONAL PROFILE:

  • Calm, reliable, trustworthy, unflappable, and cheerful with a positive can do attitude to all tasks.
  • Attention to detail - accurate and methodical in your work.
  • Minimum 5 GCSEs A – C grade including Maths and English.
  • Previous experience of working within a busy office environment is essential.
  • Previous timesheet and payroll experience would be desirable.

  • Ability to be flexible and take on additional responsibilities.

SERVICE AND SPARES CO-ORDINATOR

JOB PURPOSE SUMMARY:

To be the face of Avanti Conveyors for our customers and to co-ordinate all activities within the service and spares teams, and to communicate this activity back to our customers.

KEY RESPONSIBILITIES & ACCOUNTABILITIES:

  • To be the single point of contact for co-ordinating the service schedule and customer service visits.
  • To be the office point of contact for running the spares department and communicating dates and other information to and from our customers.
  • To invoice the annual service contracts and to maintain and grow this area of the business.
  • To maintain the on call register, holiday schedule, rest days for the service team. To ensure accommodation and transport are booked accordingly.
  • To take control of all spares orders, from purchase to receipt by our customers. This includes placing and progressing orders, sending order acknowledgements, and communicating despatch dates to our customers, completing all documentation from purchase order to sales invoice.
  • To agree all shipping requirements to ensure the smooth delivery of goods to our customers.

  • Previous purchasing, invoicing and scheduling experience is essential.
  • Attention to detail - accurate and methodical in your work.
